Terms and Conditions: We Tour Nepal
These Terms & Conditions govern all bookings, services, and travel arrangements made with We Tour Nepal, including all associated brands and websites operated by the company. These include:
By booking any trip or using any of our websites or services, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
Company Information
We Tour Nepal is a travel brand operated by Touch The Himalaya Treks & Expedition Pvt. Ltd., which is a Government registered travel and trekking company based in Kathmandu, Nepal.
All bookings made through our associated brands are managed, operated, invoiced, and financially administered by Touch The Himalaya Treks & Expedition Pvt. Ltd.
Our Brands
For destination-specific services, we operate the following specialist brands:
- We Tour Nepal – Nepal cultural tours, luxury holidays, wildlife safaris, helicopter tours, rafting, family holidays, and sightseeing.
- Touch The Himalaya – Trekking, climbing, expeditions, and adventure travel throughout Nepal.
- Manaslu Guides Nepal – Specialized trekking services in the Manaslu Region, Tsum Valley, Nar Phu Valley, and surrounding areas.
- Tibet Tours From Nepal – Tibet cultural tours, Kailash pilgrimage, overland tours, and Tibet travel arrangements.
- Bhutan Tours from Nepal – Bhutan cultural holidays, trekking, festivals, and customized tours.
Although these brands maintain separate websites for destination expertise, all reservations are processed by Touch The Himalaya Treks & Expedition Pvt. Ltd.
Booking Confirmation
A booking is considered confirmed only after:
- Receiving the required deposit,
- Receiving all requested traveler information,
- and issuing a written booking confirmation.
Until confirmation is issued, prices and availability remain subject to change.
Payment Policy
- A deposit of 10% / 20% or 30% of the total trip cost is required at the time of booking to secure your reservation.
- The remaining balance can be settle by the day before the trip start date. (To book some specific trips we organize, we require valid scanned copy of Passport and passport size photo)
- Payments can be made via bank transfer, credit card, or other agreed-upon methods. For your convenience, you may forward the full Payment online through This website payment link. However, a 3.5% fee of the total amount will apply which is assessed by our local Nepalese bank.
Any bank charges, currency conversion fees, or transaction fees charged by third-party financial institutions are the responsibility of the traveler.
Pricing
Prices are based on current costs of transportation, accommodation, permits, government taxes, exchange rates, and operational expenses.
We reserve the right to adjust prices before booking confirmation if circumstances beyond our control require it. Once a booking is confirmed, the agreed price will generally not change unless government taxes, permit fees, or mandatory charges are revised.
Cancellations by the Traveler
All cancellation requests must be submitted in writing.
- Cancellations made more than 30 days before the trip start date will incur a loss of the 10% deposit.
- Cancellations between a week to 10 days before the trip start date will be subject to a 20% cancellation fee.
- Cancellations less than 24 Hours before the trip start date will result in a 100% cancellation fee.
Cancellation charges may apply depending on: Destination, If Permits already issued, Hotel bookings, Airline policies, Government fees, And the timing of cancellation. Certain permits, visa fees, and government charges are non-refundable. Refund processing may take several weeks depending on banks and payment providers.
Changes to Bookings
If you request changes after booking confirmation, we will do our best to accommodate them.
Additional costs may apply if changes require modifications to:
- Flights
- Hotels
- Permits
- Guides/Drivers/Porters
- Transportation
- Itinerary
Some changes may not be possible once permits have been issued.
Cancellation by the Company
We reserve the right to cancel any trip due to unforeseen circumstances such as natural disasters, political instability, or insufficient bookings, Border closures, Government restrictions, Epidemics or pandemics, Safety concerns, Transportation disruptions etc., In such cases, we will offer reasonable alternatives whenever possible. Refunds, if applicable, will exclude non-recoverable third-party costs already incurred.
NOTE: Trip cancellation and refund policy can be amended also between the clients and the Company’s mutual understanding.
Travel Insurance
Travel insurance is not mandatory but Comprehensive travel insurance is strongly recommended for every traveler. It should cover emergency medical expenses, evacuation, trip cancellation, and loss of personal belongings. Clients are responsible for ensuring their insurance covers activities related to Nepal/Tibet/Bhutan Tour, trekking and adventure sports. Travelers are responsible for ensuring that their insurance provides adequate coverage.
Health & Fitness
- Clients should be in good health and physically fit for Tour, Trekking and other adventure activities.
- It is recommended to consult a doctor before the trip, especially for high-altitude treks and expeditions.
- Clients must inform us of any pre-existing medical conditions.
- Compliance with safety instructions provided by guides is mandatory.
Participants are responsible for ensuring they are medically fit for their chosen trip. Some treks involves High altitude, Temote regions, Difficult terrain, Changing weather conditions etc.
Passports, Visas & Permits
Travelers are responsible for:
- Valid passports
- Visas
- Passport validity requirements
- Vaccination requirements (where applicable)
We assist with trekking permits and destination-specific documentation where included in the itinerary. Tibet and Bhutan travel may require additional documentation and advance processing.
Changes to Itinerary
Mountain travel is inherently unpredictable. We may modify itineraries when necessary due to weather condition, road conditions, flight delays, government restrictions, safety considerations, guide recommendations and natural events. Such changes are made in the best interests of traveler safety. In cases of force majeure (acts of God, war, strikes, epidemics, etc.), no refunds will be provided for unused services.
Responsibility
We Tour Nepal acts as the organizer and coordinator of travel services. We work with airlines, hotels, transportation providers, lodges, government agencies, and local operators. While we carefully select our partners, we cannot be held responsible for delays, cancellations, losses, accidents, or circumstances beyond our reasonable control.
Adventure Travel Risks
- Adventure travel involves inherent risks, including but not limited to accidents, illness, natural disasters, and political disturbances.
- Clients must acknowledge these risks and agree that We Tour Nepal is not liable for any injury, loss, or damage during the trip.
- Clients are strongly advised to have appropriate insurance coverage. Our staff are insured by our Company.
Traveler Responsibilities
Travelers agree to Respect local customs and traditions, Follow guide instructions, Comply with local laws, Protect the natural environment, Respect wildlife, Avoid damaging cultural heritage, Behave respectfully toward fellow travelers. We reserve the right to remove any participant whose behavior places others at risk or significantly disrupts the group.
Force Majeure: Neither party shall be liable for failure to perform obligations due to events beyond reasonable control, including: earthquakes, floods, avalanches, war, terrorism, strikes, pandemics, government actions, civil unrest, border closures etc. In such cases, reasonable efforts will be made to minimize disruption.
Privacy
Personal information collected during booking is used solely for: trip organization, permits, accommodation, transportation, emergency contact, legal compliance etc., We do not sell or rent customer information to third parties. Certain information may be shared with government authorities or service providers where required for travel arrangements. So all our clients are requested to see our Privacy Policy Before Booking any trip with We Tour Nepal and our other associate brands.
Intellectual Property
All content on our websites, including text, photographs, logos, graphics, itineraries, videos, and branding, is the property of We Tour Nepal ( Touch The Himalaya Treks & Expedition Pvt. Ltd.) unless otherwise stated. Unauthorized copying or reproduction is prohibited.
Users must agree not to misuse our websites, attempt unauthorized access, upload malicious software, copy content without permission, use automated systems that interfere with website functionality
Governing Law
- These Terms and Conditions are governed by the laws of Nepal. Any disputes will be resolved under the jurisdiction of the courts of Nepal.
By confirming your booking and making a payment, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
